Senior Officer Information Services job at Uganda Communications Commission (UCC)

JOB DETAILS:
To manage the Commission’s records management program and to ensure professional records management practices are applied to effectively meet the organisation’s records information needs.

Primary Tasks and Responsibilities
1. Develop and implement efficient retrieval tools for information management in the registry and records centre.
2. Maintain and update the UCC file classification scheme, and file diary, and create new files as per organisational business activities.

3. Coordinate with courier service providers to ensure timely delivery of incoming and outgoing items.

4. Maintain records with permanent enduring value in the records centre.
5. Coordinate the digitisation of commission records with permanent enduring value in the records centre.
6. Conduct onboarding sessions for staff on registry procedures and the Electronic Records and Document Management System (ERDMS).

7. Provide technical support to departments regarding filing and records management.
8. Handle budgeting and reporting responsibilities for the registry and records center.
9. Manage and review the performance of direct reports to ensure alignment with organisational goals, assigning tasks effectively, and setting goals for development planning.
10. Maintain flexibility to accommodate any other duties assigned by the line supervisor from time to time.

1. Adherence to file management practices.
2. Incoming and outgoing items delivered on time.
3. Accuracy and completeness of records management.
4. Average response time to departmental inquiries.
5. Regular staff performance reviews.

Education and Professional Qualifications
• Master of information science, information systems, or business administration with a focus on information systems.
• Bachelor of Library and Information Science.
• Membership in a relevant professional body.

Working Experience
Minimum of four (4) years in information management or related field

Technical
• Proficiency in database management.
• Expertise in records and information management.

• Demonstrated integrity.
• Effective supervisory and leadership skills.

Level of Education: Postgraduate Degree
