Office Administrator job at Wilmat Development Foundation

JOB DETAILS:

Reports To: Head of Programs & Strategy
Location: Bugweri District, Eastern Uganda
Employment Type: Full-time

The Office Administrator will be responsible for ensuring the smooth and efficient operation of Wilmat Development Foundation’s office by managing administrative tasks, supporting staff, and maintaining an organized and professional working environment. The Office Administrator will handle daily office operations, including record-keeping, correspondence, procurement, inventory management, and coordination of office activities.
The role will require excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment while maintaining a high level of professionalism.

KEY RESPONSIBILITIES:
• Oversee day-to-day office activities, ensuring efficiency and adherence to organizational policies and procedures.
• Manage office supplies, equipment, and inventory to ensure availability and proper usage.

• Maintain cleanliness and organization of office spaces, meeting rooms, and common areas.
• Handle correspondence, including emails, phone calls, and mail, and route them to the appropriate staff members.
• Prepare, edit, and format documents, reports, and presentations as needed.
• Coordinate staff travel arrangements, including booking accommodations and transportation.
• Support the planning and execution of meetings, workshops, and conferences.

• Maintain accurate and up-to-date filing systems (electronic and physical).
• Act as the primary point of contact for visitors, clients, and external stakeholders and other assigned roles.

REQUIREMENTS:
• A bachelor’s degree or diploma in Business Administration, Office Management, or a related field.
• At least 2 years of experience in office administration or a similar role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent organizational, time management, and problem-solving skills.
• Strong communication and interpersonal skills.
• Local Language say Lusoga, Luganda e.t.c an added advantage.
• Ability to work independently and manage multiple priorities.
• Knowledge of office equipment and basic IT troubleshooting is an added advantage.

Experience in Months: 24

Level of Education: Bachelor Degree
