Job Purpose:

The role of the Warehouse Officer will be to implement the inventory system and maintain computerized records of all stock items of the URC in line with URCS Supply Chain Policy. The position will also be responsible for coordinating the effective receipt, storage and eventual systematic dispatch of goods received in the warehouse ensuring that the stores are safely secured, avoiding spoilage and pilferage and ensures that stores records are properly kept to fully reconcile with the stocks in the regional Warehouse located at Kitgum Red Cross Office

Key responsibilities:

  1. Receive and issue equipment, supplies and materials into/from stores using stores receiving, inspection and issuing procedures in accordance with URCS Supply Chain Policy;
  2. Maintain proper records and store layout of stock items in line with URCS Supply Chain Policy;
  3. Design and implement a mechanism for proper protection of stock against loss and damage.
  4. Prepare monthly and quarterly inventory reports in accordance with Financial Procedures and Regulations;
  5. Maintain proper records of all LPO copies from Procurement and match with suppliers’ invoices;
  6. Periodically check and report damage or obsolete stores items;
  7. Set stock levels and reorder levels and ensure availability of sufficient stocks;
  8. Liaise with other relevant functions within the Red Cross to ensure timely and efficient receipt and dispatch of goods from/to the warehouses and maintain timely and effective communication;
  9. In support of program activities;
  10. File all documents related to the stores receiving desk. These include purchase orders, goods receipt slip among others;
  11. Supervise offloading to ensure that goods delivered as per the Purchase Orders sent;
  12. Prepare a report on all variances (Shortages, excesses, damages) and circulate it to the relevant personnel;
  13. Avail all relevant documents to users as they inspect goods received;
  14. Prepare a goods received against the Purchase Orders and delivered items;
  15. Liaise with transport section and purchasing department to dispatch all the requisitioned items to various destinations.
  16. Handle any other activity assigned from time to time
  17. Design and implement a mechanism for proper protection of stock against loss and damage.

Persons Specifications

Education Qualifications
  1. Minimum Bachelor’s Degree in Procurement and Logistics, Supply Chain Management, Warehousing or a related field from a reputable organization
  2. Professional Course in Logistics, Ware Housing Management, Store Keeping or a related field will be an added advantage
Working Experience
  1. Minimum 2 years’ relevant experience in humanitarian and development or reputable NGO organizations;
  1. Knowledge of Inventory Systems;
  2. Navision knowledge will be an added advantage
